You are fortunate to have an insurance company that covers orthodontics. My insurance company does not cover cosmetic dentistry so therefore I'm paying for my braces 100% out of my own pocket. Originally when I went to the orthodontist to see about getting braces I thought my insurance company would pay part of it because my biggest problem with my teeth is not cosmetic. The orthodontist assistant told me that most insurance companies consider all orthodontic work to be cosmetic dentistry and since my insurance plan doesn't cover cosmetic dentistry, NO orthodontic work is covered. That was a real bummer to find out but I decided that regardless of the cost, I was going to do it! Now, I'm really glad I made that choice!

I would suggest you wait till after the conference to get your braces on. Give yourself at least a week or so to get used to having all that extra stuff in your mouth. Try not to get too frusturated (easier said than done eh? ;) ) I know how annoying it can be dealing with insurance companies. Just picture yourself a few years from now and how happy you'll be that you made the choice to get braces and that it's all over!!
