I. All present agreed that improving the exterior of the house was the top priority for budget spending. Liz and Jo 缸 e ge 前 ing quotes and work will proceed as soon as the budget allows. The need to collect service charge arrears for tbis pu 巾。 se was bighlighted. Liz has recently been given a quote from National Property Maintenance for _2800-_3000 wbich she will pass on to Strover Leader asap. The company say work would need to be done in August to catch the good weather and they would need two weeks notic 海 before startmg
2. Service charge arrears discussed. Money is owed by }, 在 r Adamson in Flat 2 and a lesser amount by Ms Wint in Flat 3. They have both received letters 企 om the management company with no result. It was agreed that a letter should be sent to both from fellow residents emphasising the need for payment before improvements can be carried out. Damp-proofing can be carried out to Flat 3 once we have received the arrears. Mairi agreed to draft the letters.
3. The potent 凶 rise in service charges mentioned by Mr Parker in bis last letter to the resident directors was discussed. All present felt that 也 ey were unwilling to pay higher charges at 出 is time - noting that charges had already risen considerably in the last year, and 也 at bigh prices discourage potential flat buyers.
4. All present repo 此 ed that they were happy with the work of the gardener. However, they decided against
spending budget money on plants as the house is the priority
5. The p 山 chase of garden furniture was discussed. It was decided that Flat I may purchase items to the cost
of 幻 0, keep the recei 阱 , and will be reimbursed from the budget at a later date
6. It was agreed that residents should continue to keep the communal area clean and tidy themselv 白 , rather
than the expense of employing a cleaner
7. Flat I agreed to leave their hardbroom in the gas cupboards in the hall so that the forecourt can be swept

This letter is to confirm the past, present and intended service charges levied by the Hopton Road Management Company Limited.

As we were only incorporated in July 1988, 1989 was the first t 工 me that we set and collected our own levies. The shareholders meeting at the beg 工 nning of 1989 set the ground rent for 1989 at _75 . In
addition each shareholder paid _92 to cover the cost of building insurance. We did not feel that it was necessary to collect a service charge, as there were sufficient funds in the building society to cover anticipated costs in 1989.
Over the next five years I expect that we will need to levy a service charge. The amount will be in the region of _150. 工 f any major building works are required we intend to agree and authorise such expend 工 ture at that time. All such bills will be shared equally between the shareholders.

Fire Precautions

A conversat 工 on with our local fire prevention officer produced the following t 土 ps:

1. The House

工 n common with a lot of other victorian conversions the Building Regulations ensure the protection of the communal staircase as the main route of escape. Self closing fire resistant doors in hallways should (in theory) contain the fire for 30 minutes.Fire resistant front doors should also contain any fire for 30 minutes while the residents, in the FPO's words, 'run like buggery'.

Obviously it 工 s not a good idea to block the staircase or leave inflammable materials lying about.

2. Smoke Detectors

These are useful within individual flats, particularly if they are linked. Up to four can be linked in a very simple operation allowing detection through out the flat and possibly in the hall as well.

3. Fire Fighting Equipment

Apart from a Fire Blanket and a couple of extinguishers
the best equipment in case of fire is a good pair of running shoes and to wait for the gentlemen in the red engine to turn up.

4. Appliances

In particular gas appliancesneed to be serviced regularly to prevent large bangs.
