After greeting clients & pets, I show them my presentation book--basically to prove I'm insured & bonded, member of PSI, etc. Then I ask about pets habits, behavior, diet--where food is, what games he likes to play & if he has ever bitten anyone--if they say yes to this, the consult is over--I will not pet sit for an agressive pet.
I give them a copy (2 sheeter) of "Using Your Pet Sitting Service Most Effectively" which has all kinds of tips for new clients. I leave with them a detailed checklist which they are to fill out & leave for me. (It has been my experience they always forget something & legally if they write it down, your butt is covered--advice from attorney) I ask them to sign the Vet Auth which I keep in file. Give them a copy of my pet sitting fees, what their subtotal will be & ask for half up front & to sign contract. (Most give me payment in full) It takes less than 10 minutes to go over paperwork. My consults on average last 30-60 minutes (longer with horses)
The rest is getting to know pet(s)--letting the owners get to know you & to feel comfortable about coming into their home, & being with their babie(s) etc. I recently did a entire consult in 10 minutes! She had 2 human babies, busy schedule & we liked each other immediately. Used me once & just emailed me for 3 weeks this July.
I do correspond A LOT by email. I try to get email on telephone consult so that I can confirm appt & then reply with email after the consult thinking them for their biz.
I'm sure I've forgotten something but the main thing I try to do is convey warmth to both owner & pets & a sense of security. My 19 yr old (my horse sitting partner) used to HATE to do consults but now she enjoys them. They do get easier with each one.
